How much should I charge to install a sprinkler system? The per-zone formula

Price the zones, then the system, then divide by one minus your margin. A zone repeats; the controller, backflow assembly, tie-in and permit are bought once.

  1. Crew-hours = zones × crew-hours per zone + system crew-hours.
  2. Materials = zones × materials per zone + system materials.
  3. Break-even = crew-hours × (loaded wage + overhead per crew-hour) + materials.
  4. Price = break-even ÷ (1 − margin).
  5. Price per zone = price ÷ zones. Price per head = price ÷ heads.

Wage and burden (assumed): $26 an hour plus 25% burden is $32.50. For an employee, the employer's share is 6.2% Social Security and 1.45% Medicare, per IRS Topic 751; workers' compensation, unemployment tax and paid time off make up the rest of the assumed 25%. This is arithmetic, not tax advice.

Overhead per crew-hour: $33,600 ÷ (2 people × 210 billable days × 8 hours = 3,360 hours) = $10. Break-even is $32.50 + $10 = $42.50 a crew-hour; divided by 0.68 for an assumed 32% margin, each crew-hour sells at $62.50.

The hours box takes hours on site, not crew-hours: 5 × 5 + 9 = 34 crew-hours ÷ 2 workers = 17. Materials are 5 × $230 + $540 = $1,690.

Check it: 34 crew-hours × $32.50 = $1,105.00 of labour, plus $340.00 of overhead and $1,690.00 of materials, is $3,135.00. Divided by 0.68 that is $4,610.29: $922.06 a zone, or $153.68 a head on 30 heads.

The permit fee sits inside materials here, so it carries the margin. If you pass a permit through at cost, take the $75 out of materials and add it after the price.

Why a 3-zone quote looks expensive per zone

The system items cost the same on every install: 9 crew-hours and $540 of materials sell at $1,356.62. Over 3 zones that is $452.21 a zone, 41% of the price. Over 9 zones it is $150.74 a zone, or 18.8%.

So one flat per-zone rate cannot be right at both ends. A two-part quote is: a $1,356.62 system charge plus $650.74 for each zone. For 5 zones, $1,356.62 + 5 × $650.74 lands within a few cents of the $4,610.29 above; the difference is rounding.

The per-head column only holds while every zone carries the assumed 6 heads; rebuild any zone that differs.

How many zones for a 1/4-acre or 1/2-acre yard?

Zone count comes from the water supply and the head types, not from the lot size, so there is no honest zones-per-acre figure to print. The 5 zones for a 1/4-acre yard and 9 for a 1/2-acre yard used here are assumptions to show the arithmetic.

From the table above, the 1/4-acre yard is 34 crew-hours, about 2.1 eight-hour days for a crew of 2, at $4,610.29. The 1/2-acre yard is 54 crew-hours, about 3.4 days, at $7,213.24.

The design decides the real count. University of Georgia Extension's Irrigation for Lawns and Gardens (Bulletin 894) says the types and number of sprinklers must match the pressure and volume capacity of the water supply, and gives the method: "divide the area into zones so all sprinklers in each zone can be operated at once." Its example is a supply of 12 gallons per minute and sprinklers that each use 2.5 gallons per minute, which allows at most four sprinklers on a zone.

Run that on this page's 1/4-acre yard. Its 30 heads at 4 to a zone would need 8 zones, not 5. Head type moves the count too. Colorado State University Extension's home irrigation fact sheet says all heads on a zone should be of the same type and adds: "Do not install rotors and spray heads on the same zone."

Each zone the design adds or removes moves the price by $650.74: 6 zones in place of 5 is $5,261.03. Measure the supply and lay out the heads before you quote.

How much to charge to add a zone, and for a sprinkler repair call

Price an added zone as its own small job: the zone, plus the trip and the tie-in. On these assumptions that is $781.25, not the $650.74 a zone adds inside a new install.

Worked example: Add one zone to an existing system: 5 crew-hours for the zone + 1.5 for the trip, tap and wiring = 6.5 crew-hours; materials $230 + $25 of tap fittings (assumed inputs)

The $130.51 gap is the 1.5 extra crew-hours and $25 of tap fittings. This row assumes the controller has a spare station and the supply can run one more zone. If not, add those lines.

Repair calls. The minimum is the computed price of the shortest visit you will drive to. With one person and an assumed hour door to door, that is $80.15.

Past the first hour, each extra half hour for one person sells at $31.25 on these rates, plus parts ÷ 0.68.

Hand trenching or a pipe puller: price the hours, not the method

The method changes crew-hours per zone, and a rented machine is a materials line. The 5-zone example assumes 5 crew-hours a zone with an owned machine whose cost sits in overhead.

Hand trenching adds 15 crew-hours, which cost $637.50 at the $42.50 break-even rate. A rental that costs less than that for the job wins on these numbers. Use the rental yard's quote, not this placeholder.

Before any digging. 811 describes itself as the free national before-you-dig service, and says to contact it "a few business days before you begin any digging" so buried utilities can be marked. It also says to wait until all utilities have responded and then dig carefully around the marks. For pricing, the wait is calendar time, and careful digging near marks is extra hours on that zone.

Spring start-up and winterization: flat visit prices from minutes

Price each seasonal visit from its minutes at the same hourly rate. Assumptions: one person, 20 minutes of driving, 10 of setup, then 3 minutes a zone for a winterization (blow-out) and 6 a zone for a spring start-up. The compressor is in overhead.

Time your own visits and replace the minutes. This prices the visit; it is not a procedure. Follow the equipment makers' instructions for blowing out a system.

Permit, backflow and licence: what the quote has to state

Check your state's irrigation or landscape contractor licence rules and the local backflow and plumbing permit rules before you quote. They differ by state and municipality, and I cannot tell you which apply to you.

The University of Georgia bulletin says most city and state plumbing codes require some type of backflow prevention device where a permanent irrigation system connects to a municipal supply, and adds: "always check local and state codes to be sure you comply." The EPA WaterSense page Irrigation with a Pro tells homeowners to start by confirming the contractor is licensed and bonded.

So the backflow assembly your code requires, any test or inspection, and the permit are lines on the quote. If a licensed plumber must make the tie-in where you work, it is a subcontract line, not crew-hours.

The mistake: adding 32% to break-even in place of dividing. On the 5-zone install that bills $4,138.20 and keeps 24.24% of the price, not 32%. It is $472.09 short on one job.
